πŸ’‘ How licenses work

In this article:

  1. What is a license?
  2. License types
  3. License duration

Once a bundle is created, licenses control who can play a scenario and for how long.

πŸ†• What is a license?

A license gives a trainee or device the right to download and play a scenario. It works alongside group access: group membership lets a trainee see the scenario in the app, but a valid license is required to actually play it.

Licenses come from bundles. When a bundle is shared with your workspace, a set of licenses is included - either unlimited, or a fixed number tied to trainees or devices.

πŸ†• License types

Unlimited

No restrictions on the number of trainees or devices. There are no license limits or renewal settings. Anyone in the assigned group can play the scenario without a license count being tracked.

Trainee license

Tied to individual trainees. A fixed number of licenses is included with the bundle. When a trainee plays a scenario, their reserved license becomes active.

Device license

Tied to specific devices rather than individual trainees. A fixed number of licenses is included, and a license is activated when a device plays the scenario.

πŸ†• License duration

For trainee and device licenses, a duration is set when the bundle is created. This duration determines how long each individual license remains active before it expires.

Licenses can be offered as a subscription - see below for how duration and expiration work for each.

❓When do licenses expire?

The expiration date depends on how the bundle was purchased:

Not a subscription: Each active license expires after the set license duration (e.g. 3 months from activation). The bundle itself also has a expiration date, which is one year from the activation date. After that, any remaining unused licenses expire automatically.

Subscription: Each active license expires at the next renewal date of the subscription. On renewal, the existing licenses expire and a new set is issued automatically. This repeats each cycle for as long as the subscription is active.

πŸ‘‰ Subscriptions

A subscription keeps your bundle access running automatically. At each renewal date the current licenses expire, a new set of licenses is created for the next period and the renewal date is updated.

If a subscription is canceled, access continues until the end of the current period - it is not removed immediately. After that period ends, all content from the bundle is removed from your workspace, including any assignments to groups, devices, or users.

For unlimited licenses (non-subscription), ending a bundle removes access immediately.
